1.Terms & Conditions (“Terms”) apply to all online bookings made via our website for soft play sessions, parties, and venue hire. By making a booking, you agree to be bound by these Terms.
2. Definitions “We”, “Us”, “Our” refers to Ascot Mini Mates Ltd “You”, “Your” refers to the person making the booking. “Session” refers to a timed soft play visit. “Party” refers to any private hire, exclusive hire, or part-hire party package. “Rules of Play” refers to the safety and conduct rules displayed on our website and at our premises.
3. Formation of Contract A contract is formed when: 1. You complete a booking through our website, 2. Payment is successfully taken, and 3. You receive an email confirmation from our booking site. Children must be supervised at all times by a responsible adult aged 18+. You and all members of your party must comply with our Rules of Play
4. Late arrival does not extend your session or entitle you to a refund. We may remove anyone behaving inappropriately or in breach of the Rules of Play.
5. Prices & Payment All prices are displayed on our website. Payment is required in full at the time of booking. Prices may change, but the price paid at the time of booking is final.
6. Cancellation & Refund Policy (Sessions) Customer cancellations: Tickets are non-refundable. We may move your booking to another date if we are given at least 24 hours’ notice, subject to availability. No changes can be made within 24 hours of the session. Missed sessions: No refund or rescheduling for no-shows. Our cancellations: If we cancel due to unforeseen circumstances, you may receive a full refund or transfer to another available date.
7. Party Bookings (Private Hire & Part Hire) Deposits & Payments • A 50% deposit is required to secure your party booking. Your booking is not confirmed until the deposit is received. The remaining balance must be paid by the date specified in your confirmation. Cancellation Policy (Customer Cancellations) If you cancel more than 14 days before the party date, we will refund 50% of the deposit. If you cancel with less than 7 days to go, the deposit is non-refundable. Party Rescheduling: We will try to move your party booking, but availability is not guaranteed. Rescheduling within 7 days may be treated as a cancellation. Our Cancellations If we cancel your party, you may choose a full refund or an alternative available date.
8. Birthday parties are allocated a specific party time and must start and finish at the times stated on your booking confirmation. Please arrive no more than [10/15] minutes before your allocated party start time, unless otherwise agreed with a member of staff. The party will finish promptly at the stated end time. Children and guests must leave the party area at the end of the booked period so that we can prepare for the next party. Please allow sufficient time for collecting belongings and ensuring that all children leave safely with their parent/carer.
9. Parents, guardians and/or other responsible adults remain responsible for the children in their care at all times while attending a birthday party. Our staff are responsible for the safe operation of the soft-play facility, enforcing our safety rules and assisting with the running of the party. They are not responsible for supervising, monitoring or caring for individual children. The parent/guardian or responsible adult booking the party is responsible for ensuring that all children attending the party are appropriately supervised and follow the venue’s rules and instructions.
10. If a parent or carer chooses to leave a child at the party, the parent/carer must ensure that another responsible adult remains responsible for that child. Where a parent/carer leaves their child at the party, responsibility for that child remains with the parent/carer or with the responsible adult they have nominated. Ascot Mini Mates Ltd does not provide a child-minding or childcare service and our staff will not assume responsibility for individual children whose parent/carer has left the premises. Parents/carers must provide the party organiser or another responsible adult with any relevant emergency contact information and ensure that arrangements are in place for the child to be collected at the end of the party.
11. If you have booked the standard mini mates birthday packageparents/carers are responsible for providing the birthday cake for this package and for checking with each childs parents/carers regarding any known allergies before allowing the children in their party to eat the cake on site.
12. By booking a birthday party, the booking adult confirms that they have read and understood these terms and agree to ensure that all parents/carers attending the party are made aware of them.
13. Rules of Play Our Rules of Play can be found on our website and form part of these Terms and include: Children are always the responsibility of the accompanying adult. Removal of shoes before entering soft play. Wearing socks at all times. No food or drink in play structures. Safe and respectful behaviour. No external food is allowed.
14. We reserve the right to ask a child or adult to stop using equipment or to leave the play area if they are behaving in a way that presents a risk to themselves or others.
15. Health & Safety If your child is unwell, please do not attend. We may refuse entry to anyone appearing unwell.
16. Liability: We shall not be liable for any personal injury, death, or illness sustained while on the premises, except where such injury, death, or illness is caused by the negligence or willful misconduct of us or our employees. We are not responsible for loss or damage to personal belongings. You are responsible for supervising children in your care.
17. Food, Drink & In-Person Purchases Food and drink sold on-site are paid for separately at the café or less purchased as an additional add on at point of booking.
18. Behaviour & Right to Refuse Entry: We may refuse entry or ask visitors to leave for safety or behaviour issues.
19. Privacy & Data Protection We process personal data per UK GDPR. See our Privacy Policy for details.
20. Changes to These Terms: The version published on our website at the time of booking applies.
21. Governing Law These Terms are governed by English law. Disputes will be subject to the courts of England and Wales

The monthly membership fee is payable in full, in advance for the following month. The membership is non-refundable once payment has been taken.
Your membership will need to be set up via our membership booking page online. A Membership purchase entitles you to entrance for the site you have selected – not all sites.
Tickets must be pre-booked online to gain entrance. Members will not be able to use their membership alongside any discounts/offers/promotions associated with tickets.
You can cancel your membership at any time with one months’ notice. Your membership will be a rolling contract until you cancel your membership.
Membership entitles you to the following:
Entrance to the venue for the child named on the membership during the applicable period once payment has been made (1 adult has free entry per child, any additional adult must pay for general admission)
5% off food and drink from the MiniMates Café.
A range of benefits/discounts/information which will vary throughout the year.
Membership does not entitle the card holder to the following:
Priority/fast track access to the venue;
Priority or reserved Seating;
Automatic Discounts on any current (or future) items/products/services within the venue that have a charge associated with them.
Membership can be revoked, at the discretion of the management team, with no refund given, if any member fraudulently uses the card – for example, trying to get children into the venue who are not members.
Memberships cannot be used to book more than 1 Peak session per day.
Members must abide by all standard safety rules within the venue.
At times the management will hire out Mini Mates on an exclusive basis. During these exclusive hire times the venue will be classified as ‘closed’ and members will not be able to access the venue. No refund will be given for periods of closure due to exclusive hire.
At times the management may close Mini Mates for routine maintenance, cleaning, equipment installation and other business-related reasons. During these times the venue will be classified as ‘closed’ and members will not be able to access the venue. No refund will be given for periods of closure due to these / or any other reasons.
Your personal data is stored in line with our ‘Privacy Policy’ which is available on our website.
The Management Team reserve the right to update / amend these Terms & Conditions at any time.
